Workflow Automation

Approvals, document handling and scheduled jobs that leave an audit trail.

The problemApprovals sit in someone's inbox and the same data is typed into three systems.

Many processes are email chains. We turn them into workflows with owners, due dates, approval limits and a record of what happened. Approvals, reminders and nightly reconciliations run on schedule, and each step is logged.

§ 01What we build

What we build

  1. 01

    Approval flows

Purchase, expense, discount and exception approvals with limits, delegation when someone is away, and a full history.

  2. 02

    Document intake

Orders, invoices and shipping documents arrive by email or upload, are read by templates and rules, and go to a review queue. AI-assisted extraction handles unfamiliar layouts, with confidence scores and a person confirming before anything posts.

  3. 03

    Scheduled jobs and alerts

Reminders, escalations and nightly reconciliations that run without anyone remembering to.

  4. 04

    Data sync

Two systems kept consistent by the software instead of by someone updating both.

  5. 05

    Internal request desk

One place to send requests to finance, purchasing, IT or operations, with status.

Scope is fixed in the proposal at the end of discovery. How a project runs

How we would judge it

  • Hours from request to approval
  • Items keyed by hand per week
  • Exceptions caught before posting
  • Overdue approvals
§ 03Connects to

Works with what you already run

  • Email and chat
  • E-signature
  • ERP and accounting
  • Cloud storage
  • Spreadsheets you are not ready to retire
§ 04What we need from you

Before we start

  • The process as it runs today, including the workarounds
  • Who approves what, and up to what amount
  • A pilot team

What we do not build, and when to buy instead

We use screen-scraping bots only as a last resort for a system with no API, file or database access. We do not promise fully unattended document processing: extracted data is confirmed by a person until accuracy is proven on your documents.

§ 05Questions

Questions about Workflow Automation

Is this RPA or custom software?

Custom software with proper integrations wherever possible. Screen-scraping bots break when a screen changes, so we use them only when nothing else is available.

Do you use AI?

For reading documents with unfamiliar layouts, yes, with confidence thresholds and human review. Rules and templates handle the repeat formats. We do not send your data to a model provider without telling you which one and agreeing the terms.

What is a good first workflow?

One with clear rules, high volume and a visible cost, such as order entry from email or purchase approvals.
