SVC-ERP

Custom ERP

Orders, inventory, purchasing and finance postings in one system built around your process.

The problemOrders, stock and invoices live in different tools, and people re-key data between them.

An ERP holds your orders, inventory, purchasing and ledger postings in one database, so sales, the warehouse and accounting work from the same numbers. Packaged ERPs make you adapt to their screens and workflows. We build the modules you use, around how your team already works, and leave out the rest.

§ 01What we build

What we build

  1. 01

    Order-to-cash

Quotes, sales orders, stock allocation, fulfillment status, invoicing and payment application, with credit-limit and past-due holds at order entry.

  2. 02

    Procure-to-pay

Purchase requests, purchase orders, receiving against the PO, three-way match of PO, receipt and vendor invoice, and payables.

  3. 03

    Inventory and costing

Multi-location stock, units of measure (each, case, pallet), lots or serials where you need them, FIFO or average costing, and valuation you can reconcile to the ledger.

  4. 04

    Pricing

Customer-specific and contract prices, quantity breaks, promotions, and vendor or customer rebates and chargebacks.

  5. 05

    Finance integration

AR and AP subledgers and invoicing, posting to your accounting package. Sales tax through a rate service such as Avalara or TaxJar, with resale and exemption certificates on file.

  6. 06

    Roles, audit trail and reports

Permissions by role, a log of every change to a price, quantity or status, and the handful of reports your managers pull every Monday.

  1. 01One core flow first, usually order-to-cash for a single location
  2. 02Item, customer and price data loaded from cleaned exports
  3. 03Roles, permissions and an audit log
  4. 04The five reports management uses most
  5. 05A posting integration to your accounting package

Scope is fixed in the proposal at the end of discovery. How a project runs

How we would judge it

  • Minutes to enter an order
  • Invoices corrected after issue
  • Days sales outstanding
  • Stock accuracy against counts
  • Days to close the month
§ 03Connects to

Works with what you already run

  • Accounting packages (QuickBooks, Xero, Sage)
  • Sales-tax rate services
  • Payment processors
  • Shipping carriers and rate services
  • E-commerce storefronts
  • EDI providers
  • Bank feeds
§ 04What we need from you

Before we start

  • A named owner on your side who can make decisions
  • Exports of products, customers, prices and open orders
  • Time with the people who run each process day to day

What we do not build, and when to buy instead

We do not build a general ledger, payroll or a tax-filing engine. Buy accounting software and payroll, and we will integrate with them. If a packaged ERP fits your process, we will help you shortlist it instead of proposing a build.

§ 05Questions

Questions about Custom ERP

Do we have to replace everything at once?

No. Most projects go live in stages: one process, location or team first. We order the stages by risk and payback.

When is a packaged ERP the better choice?

When your process is close to standard, when you need many modules on day one, or when you have no one to own a custom system after launch. Custom pays off when your process is part of what customers buy, when you pay for modules you do not use, or when spreadsheets sit on top of a package.

Do you replace QuickBooks?

Usually not. QuickBooks, Xero or Sage stays as the ledger and we post to it. We replace the spreadsheets, re-keying and separate tools around it.

Can it handle several companies or currencies?

Yes, when scoped. Multiple legal entities and currencies add accounting and reporting work, so we decide it in discovery, not mid-build.

Who owns the software?

You do. Source code, database, documentation and deployment scripts are handed over, and the code lives in a repository in your organization.
